SCHEDULE
This is a full time position, 40 hours per week. Monday - Friday 8am - 5pm is the typical schedule, however there are times when the schedule does need to accommodate consumer needs. This can be discussed further in an interview.
COMPENSATION & BENEFITS
Salary Range: $45,656 - $62,109 depending on experience
SUMMARY
General Description: Responsible for the supervision and management of the clerical staff and office operations and performs moderately difficult and complex clerical administrative work.
Responsibilities and Duties: Supervises and coordinates activities of clerical personnel. Responsible for the hiring, training, and evaluation of clerical personnel assigned. Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures. Analyzes and organizes office operations and procedures such as typing, flow of correspondence, filing, requisition of supplies, and other clerical services. Evaluates office production, revises procedures, or devises new agency forms to improve efficiency of work flow. Ensures and maintains confidentiality of information, records, and materials. Provides general rights information and fee determinations for clients. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records. Establishes uniform correspondence procedures and style practices. Orders letterhead and business cards for the agency. Reviews clerical, Mental Health Committee members, personnel and time records to ensure completeness, accuracy, and timeliness. Assists supervisor with ancillary administrative duties. Reviews and provides input on draft agency policies and procedures. Orients new staff on policies and procedures. Responsible for the completion of necessary reports, forms, and other documents such as meeting minutes and performance appraisal forms. Prepares special reports as requested. Participates in and prepares for various meetings and committees as assigned. Responsible for the maintenance of petty cash and makes accommodations for conferences. Purchases and maintains office equipment and office supplies. Plans office layouts and initiates cost reduction programs. Assures work needed for building facility cleaning, maintenance, and repair is accomplished. Answers questions and provides information to the public, schedules meeting rooms, and types correspondence. Performs other routine clerical work as needed or required.
EMPLOYMENT STANDARDS
General Education:
College: Associates Degree preferred, High School diploma/GED is required.
Courses: Clerical/Office Management
Job-Related Experience: Associates Degree with at least three years of general clerical experience, or at least five years clerical experience with completion of one year of college courses related to business communications and administrative functions. Supervisory experience preferred.
Licenses/Certification: Valid driver's license while operating vehicle an agency business.
CONDITIONS OF EMPLOYMENT
Knowledge: Solid knowledge of English, word usage, spelling, sentence structure, etc.; knowledge base in supervision, general office management, and general understanding of agency purpose and organizational structure.
Skills: Typing skill of at least 60 wpm; skill in operation of office equipment including calculator, computer applications (word processing, spreadsheet, and data base), transcription equipment, copier, paper shredder, and fax.
Abilities: Ability to provide effective supervision and leadership; communicate well orally and in writing and write legibly; establish and maintain positive working relationships with clients, staff members and visitors; coordinate and delegate multiple tasks; interact appropriately with clients, staff members and the general public; perform basic mathematical calculations and tabulations accurately and rapidly; perform well under stress; appropriately handle confidential information; maintain various types of records and tickler systems and prepare reports from such records; render a considerable degree of decision making and independent judgment; problem solve; shift rapidly from one task to another; develop and organize office materials and processes into functional systems; demonstrate flexibility and adaptability to work flow and processes; work independently; prioritize during high work load periods; prepare moderately difficult correspondence for self and others; prepare meeting minutes; and arrange meetings and conferences.
Physical Demands: Work is sedentary and involves typical office behaviors such as reaching, handling and fingering. Work may require occasional lifting and moving of office furniture, supplies, and equipment. Eye/hand/foot coordination is necessary to operate Dictaphone. Near acuity necessary for typed letters and figures.
